Privacy Policy

Wisdomwave Hub ("we", "us") operates OET Coach, an English exam preparation platform for healthcare professionals. This Privacy Policy explains how we collect, use, and protect your personal data under UK GDPR and EU GDPR.

Data controller: Wisdomwave Hub. Contact: support@nika-oet.fun.

Account data: email address and authentication identifiers when you sign in (magic link or Google OAuth).

Profile data: profession, target country, regulator, study goals, and optional exam date.

Learning data: diagnostic results, skill map, practice attempts, writing drafts, quiz answers, and progress metrics.

AI interaction data: messages to Nika and AI-generated feedback on writing and speaking practice.

Billing data: subscription plan, payment status, Stripe identifiers (see Payments & subscriptions). Card details are handled by our payment processor — we do not store full card numbers.

Technical data: device type, browser, approximate usage logs, and service-worker cache for offline use.

We do not collect real patient health records. All clinical scenarios are fictional.

Payment data. When you subscribe to OET Coach Premium, we collect billing-related information including your email address, chosen plan, subscription status, and Stripe customer identifier. Payment card numbers are collected and processed directly by Stripe Payments Europe Ltd (or Stripe Payments UK Ltd for UK payments) — we do not store your full card number, CVV, or magnetic stripe data on our servers.

Lawful basis. Processing payment and subscription data is necessary to perform our contract with you (UK GDPR Art. 6(1)(b)).

Stripe. Stripe acts as our payment processor. Their privacy notice is at https://stripe.com/privacy. We have a Data Processing Agreement with Stripe. Stripe may process data in the United States and other countries under appropriate safeguards (Standard Contractual Clauses / UK International Data Transfer Agreement).

What we store. Subscription plan, status (trialing, active, canceled, past_due), current period end date, trial usage, coupon applied (if any), withdrawal waiver timestamp, billing terms acceptance, and Stripe customer/subscription IDs. Invoice amounts and dates are available via Stripe Customer Portal.

Retention. We keep subscription and billing records for as long as your account is active and for up to six (6) years thereafter where required for UK tax, accounting, or legal obligations. Webhook processing logs are retained for ninety (90) days.

Your rights. You may export your data (including a billing summary) from Profile. Account deletion cancels your subscription and removes personal data subject to legal retention limits. Cancel your subscription via Profile before deleting your account.

Contract: providing the study platform you sign up for, including paid subscription features and processing payments for Premium access.

Consent: optional features such as AI processing and analytics cookies.

Legitimate interest: security, fraud prevention, and improving the learning experience.

Legal obligation: tax and accounting records for subscription payments where applicable.

Writing and speaking text may be sent to trusted AI providers to generate feedback.

We configure providers so your content is not used to train public models where we can opt out.

Do not include identifiable patient information in practice tasks.

Server data is hosted in the EU where configured.

Imported OET audio/PDF files stay on your device — we never upload them to our servers.

Practice attempts are retained for up to 12 months unless you delete your account sooner.

Billing and invoice records may be retained for up to six (6) years where required for UK tax, accounting, and legal obligations.

Local study data on your device remains until you clear site data or uninstall the app.

We use trusted processors for authentication, hosting, payment processing, and AI feedback.

Stripe Payments — payment processing and subscription billing (processor, DPA in place). Stripe receives billing contact details and transaction data necessary to complete subscriptions.

Each processor has a Data Processing Agreement where required.

We do not sell your personal data.

Access, rectify, or erase your data.

Export your data in a portable format (available from Profile), including billing summary.

Withdraw consent for optional processing.

Cancel your subscription via Profile before deleting your account.

Lodge a complaint with your supervisory authority (e.g. ICO in the UK).

OET Coach is designed for adult healthcare professionals. We do not knowingly collect data from anyone under 16.
